iBEX POS Privacy Policy

This Privacy Policy applies to the iBEX POS website, business portal, and mobile applications (collectively, the “Services”). The Services are intended for store owners, managers, authorized business users, and website visitors. They may provide access to business information and account features, including point-of-sale reporting, products, pricing, inventory, store settings, and related services. We respect your privacy and use information only as reasonably necessary to provide, secure, maintain, and improve the Services.

Information We Process

Depending on how you interact with the Services, we may process:

  • Account information: information associated with an authorized business account, such as a name, business email address, user role, organization, store, and account preferences.
  • Authentication and session information: sign-in codes, session identifiers, and related security information needed to verify access and keep a user signed in. A temporary phone authentication code is used for sign-in and is not used for advertising.
  • Business and POS information: sales summaries, transaction and performance reports, product catalog information, prices, stock and inventory levels, store configuration, and other business records made available through the connected account.
  • Actions and changes: records of authorized actions such as creating or updating products, changing inventory, or modifying account or store settings, where needed for functionality, security, auditing, and support.
  • Technical and usage information: limited browser, device, network, diagnostic, security, and server-log information, such as browser or app version, IP address, request timestamps, pages or features used, and error information.
  • Support information: information a user chooses to provide when requesting assistance or reporting a problem.

How We Use Information

We may use the information described above to:

  • Authenticate users and maintain secure sessions.
  • Display reports, sales trends, and POS performance information.
  • Provide authorized portal functions, including product, pricing, inventory, store, and account management.
  • Save user preferences and maintain service continuity.
  • Protect accounts, investigate misuse, and prevent fraud or unauthorized access.
  • Troubleshoot problems, provide support, and maintain service reliability.
  • Comply with applicable legal obligations and enforce applicable agreements.

Business Data and Authorized Access

Information available through an authenticated account is associated with the connected business and is accessible according to the permissions assigned to each user. Business account owners and administrators are responsible for managing user access, keeping account information accurate, and ensuring that their use of business, employee, and customer information complies with applicable requirements. Users should not share credentials, sign-in codes, or allow unauthorized persons to access the Services.

How Information May Be Shared

We do not sell personal information and do not use information from the Services for third-party behavioral advertising. Information may be disclosed only as reasonably necessary:

  • To the business account owner, administrators, and other authorized users according to their assigned permissions.
  • To service providers that support hosting, security, communications, diagnostics, or other essential operations, subject to appropriate confidentiality and data-protection obligations.
  • When required by law, legal process, or a valid government request, or when reasonably necessary to protect users, the public, our rights, or the security and integrity of the service.
  • In connection with a merger, acquisition, financing, reorganization, or transfer of all or part of the relevant business, subject to appropriate safeguards.

Cookies, Local Storage, and Session Information

The website and portal may use cookies or similar technologies for authentication, security, preferences, and core functionality. Mobile applications may store limited account-selection, preference, and session information on the device using available protected storage. Signing out ends or clears active local session information as supported by the relevant service, browser, and device.

Data Retention

Information is retained only for as long as reasonably necessary to provide the services, maintain business and security records, meet contractual or legal obligations, resolve disputes, and enforce agreements. Retention may vary based on the type of information, the business account’s settings, and applicable requirements. Information may be deleted, aggregated, or de-identified when it is no longer needed.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or loss. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Users should protect their devices, browsers, account credentials, and temporary sign-in codes and should promptly report suspected unauthorized access.

Your Choices and Requests

Authorized users may be able to review or update certain information through their account or portal. Requests to access, correct, export, restrict, or delete account information may be submitted to the business account administrator or through our contact page. Some information may be retained where required for security, recordkeeping, legal compliance, or the establishment, exercise, or defense of legal claims. Uninstalling a mobile application, clearing a browser, or signing out does not automatically delete records maintained in a connected business account.

Children’s Privacy

The Services are intended for businesses and are not directed to children. We do not knowingly permit children to create or use business administrator accounts.

Third-Party Sites and Services

The Services may link to or connect with services or content operated by third parties. Their privacy practices are governed by their own policies. We encourage users to review those policies before providing information to a third party.

Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to the Services, our data practices, or applicable requirements. The revised policy will be posted on our website or otherwise made available through the Services, and the “Last Updated” date will be changed accordingly.
